Personal Information Collection and Use

We collect personal information when you interact with our website and services. This may include your name, email address, phone number, company name, and technical details about your infrastructure needs. We use this information to provide our DevOps consulting services, respond to your enquiries, and improve our website and services.

Partial or Unsent Form Data

So that enquiries which are started but never sent are not lost, when you type into our contact or emergency support forms we may record what you have entered (for example your name, email, phone, or message) even if you do not submit the form, for instance if you close the tab or navigate away before sending. We rely on our legitimate interest in following up on enquiries you began. This partial data is stored separately, is accessible only to our team, is never used for advertising or shared for marketing, and is automatically deleted 30 days after it is captured. If you go on to submit the form, the partial copy is discarded and replaced by your actual submission. You can ask us to delete this data at any time by emailing info@privatedevops.com.

Data Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These measures include encryption, access controls, and regular security assessments. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

Free Interactive Tools

Our website provides free interactive tools such as website speed tests, cost calculators, SSL certificate tools, email deliverability checks, and DNS lookups. When you use these tools:

  • The cost calculators run entirely in your browser. The numbers you type are not sent to us and no calculator run is logged. The one exception is the "Copy Link" button on a result: pressing it uploads that result, and the inputs behind it, so the link can be shared. See the shared-results point below.
  • The tools that check something for you (website and server speed tests, SSL and certificate tools, DNS lookups, email deliverability checks) do that work on our servers, and each run is logged. The log holds what you submitted (for example the domain, URL, or IP address you asked about), the result we returned, your IP address, the country and city Cloudflare reports for it, your browser's user-agent string with the browser, operating system, and device type we derive from it, and the page you were on when you ran the tool. We keep this for up to 90 days and then delete it automatically.
  • We keep that log to detect and block abuse of the tools, to diagnose faults and wrong results, and to see which tools are used enough to be worth maintaining. The legal basis is our legitimate interest in running and protecting a free public service. We do not use it to build a profile of you, and we do not share it.
  • Your IP address is also held in memory, briefly, for rate limiting. The current limit is 50 requests per 30 minutes per IP address, shared across all of the tools.
  • If you choose to share results via the "Copy Link" feature, the tool results are stored on our servers (Redis database) for 7 days, after which they are automatically deleted. Shared links are accessible to anyone with the URL.

Third-Party Service Providers

We use the following third-party service providers to help us operate our website and deliver our services:

  • Cloudflare: Our website is served through Cloudflare, which may set cookies for security and performance purposes. See the Cloudflare Privacy Policy.
  • Hetzner: Our servers are hosted by Hetzner Online GmbH in Germany/Finland.
  • Resend: A backup email delivery service. When you submit an enquiry we email it to ourselves through our own mail server; if that server is unavailable, the message is sent through Resend instead. Either way the email contains everything you entered in the form (name, email address, your message, the service you selected, the contact channel you picked together with the handle or number you gave for it, and, if given, company and phone) together with your IP address, the country and city Cloudflare reports for it, your browser, device, and operating system, and the page you sent it from. We use no third-party analytics, advertising, visitor-tracking, live-chat, or appointment-scheduling service of any kind. Our analytics run on our own servers.

Cookies

Our website uses only essential cookies plus Cloudflare security cookies. Our site analytics is cookieless and self-hosted: we do not use Google Analytics and set no analytics or advertising cookies. Embedded Content from Other Websites

Articles on this site may include embedded content (e.g., videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Who We Share Your Data With

We do not sell your personal information. We may share your data with trusted third-party service providers who assist us in operating our website, conducting our business, or serving you, so long as those parties agree to keep this information confidential. We may also disclose your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect our or others' rights, property, or safety.

How Long We Retain Your Data

  • Contract-related data: Retained for the duration of the contractual relationship and for up to 5 years after termination, in accordance with applicable commercial and tax law.
  • Contact form submissions: Retained for up to 3 years after the last interaction.
  • Partial / unsent form data: Automatically deleted 30 days after capture.
  • Analytics data: Self-hosted, cookieless visit records. Each record includes the visitor IP address alongside a daily-rotating anonymous identifier. Retained for up to 90 days, then deleted automatically.
  • Free tool usage logs: Automatically deleted after 90 days.
  • Free tool shared results: Automatically deleted after 7 days.

What Rights You Have Over Your Data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
